Stay Private Pay. Skip the Claims Game.

- NPI, CPT, ICD-10 from the session
- E-transfer and cash recorded
- Zero platform fee on payments

How It Works
From Finished Session to Money in the Bank
Set your codes once. Every session after that bills itself. Tap a step or let it play.
Step 1 of 5
Your Services Carry Their Codes
CPT and price on each service, once. NPI, tax ID, and the client’s ICD-10, once.
- Every session inherits its code and price: no retyping, no typo
- Timed codes follow the 8-minute rule; untimed codes like 92507 are one unit
- When your codes change in 2027, change them once
Step 1 of 5. Web portal, Billing settings
The Problem
The Superbill Request Email
Insurance reimburses garbage, so you went private pay. Now every family needs a superbill, the night before their deadline.
NPI, tax ID, the diagnosis code, 92507 typed again for each date, charged, paid. Twelve sessions. Three families.
Then the invoice you forgot, and the e-transfer from Tuesday you meant to mark paid.
Billing $150 an hour is only real if the paperwork to collect it does not eat the hour.
What End of Month Costs
- Families asking for a superbill
- 0
- Sessions each, one line per date
- 0
- Minutes per line, typed from the template
- 0 min
- Retyping what the session already knew
- 0 min
Estimates, on purpose conservative. Every line on a superbill is information the session already had: the date, the service, the code, the price.
The Day After
The Visit Bills Itself
Each session already knows its service, its price, and its code. Superbills are assembled from that, not retyped.
Today
- Superbills hand-typed from a template, one line per date
- Invoices sent late, or not at all
- E-transfers tracked in your head and a spreadsheet
- A separate processor login to see what you were paid
With Vochella
- Superbills with NPI, CPT, and ICD-10, drafted monthly for every client with sessions
- Invoices with a payment link, or a sweep that drafts them from finished sessions
- E-transfer, cash, cheque, and credit recorded against the invoice
- Bank, payouts, and tax documents inside Vochella; Vochella takes no cut
Why It Works
Why the Numbers Stay True
One Ledger for Every Payment
Card, e-transfer, cash, cheque, credit, refund: each is an entry. Statements and superbills read from it, so the paid amount is never a number you remembered.
Codes Set Once, Inherited Always
The CPT lives on the service and the ICD-10 on the client. A session cannot carry a typo it never had to type.
Drafts Wait for You
Monthly superbills are drafts until you issue them. Families see only issued documents. Nothing reaches a plan unreviewed.
What You Get
What Is in the Billing Suite
Superbills, coded from the session
NPI and tax ID, CPT per line, ICD-10 with diagnosis pointers, charged and paid amounts. A draft for every client on the second of the month.
Invoices with a payment link
From finished sessions, with per-line discounts and tax. A sweep drafts the ones you forgot.
Recorded payments of every kind
E-transfer, cash, cheque, card, or client credit against the invoice, with overpayments carried as credit.
Statements and refunds
Opening balance, charges, discounts, tax, payments. Refunds are ledger entries, so paid amounts on superbills stay net and true.
Family download of issued superbills
In the family portal, as a printable document, on their schedule.
Bank, payouts, and tax documents inside Vochella
Including instant payouts. Stripe’s standard rate and nothing else; Vochella’s platform fee on payments is zero.

Straight Answers
What You Would Ask on r/slp
Does Vochella take a percentage of my payments?
No. Card payments carry Stripe’s standard processing fee, paid from your connected account. Vochella’s platform fee on payments is zero.
I do not take cards at all. Does this still work?
Yes. Invoice, record the e-transfer or cheque when it arrives, issue superbills, send statements. Stripe is only needed for card payments and payouts.
A family paid part now and part later.
Record each payment against the invoice. The balance updates, the statement shows both, and the superbill shows what was actually paid on each date of service.
Is this HST or sales-tax aware?
Tax is a line on the invoice you control per practice. Vochella does not decide what is taxable; you do.
Said Plainly
What It Does Not Do
- Submitting claims to insurers. Vochella makes the superbill; the family submits out of network. No clearinghouse, no eligibility check.
- Setting your prices or codes for you. You choose the CPT and the rate; Vochella keeps them consistent.
- Payment processing without Stripe. Card payments and payouts run on Stripe; recorded payments of any kind do not need it.
- Superbills as stored PDF files. They are print-ready documents you or the family print to PDF.
Questions SLPs Ask
- Do I need a Stripe account?
- Not to invoice, record payments, issue superbills, or send statements. You need one, set up inside Vochella in a few minutes, to take card payments and receive payouts.
- What about the 2027 CPT changes?
- Codes are set per service and editable at any time. Change them once and every new session inherits the new code. Timed codes follow the 8-minute rule for units.
- What if a session needs a different code?
- Change the code on that session’s line before you issue. The monthly superbill is a draft until you issue it.
- Can families see their balance?
- They see receipts and issued superbills in the family portal, and each invoice’s payment link shows what is owed. A statement with the running balance is yours to send or print.
